A practical order for using the kit
- Define the work. Complete the scope worksheet before comparing prices. If you do not yet have an opportunity, describe the funding research you want rather than inventing an application deadline.
- Build a shortlist. Compare grant writing services or browse writers for hire. Check the provider's documented services and the questions still to confirm.
- Request comparable proposals. Adapt the RFP and send the same scope to each writer. An informal written quote request can use the same fields; you do not need to call it an RFP if that does not fit your organization's process.
- Resolve the differences. Use the interview questions by email or in a meeting. Ask whether a lower price buys the same deliverables, timeline and revisions.
- Record the decision. Put each written quote in the comparison worksheet. Resolve material unknowns and carry the final scope, fee, schedule and responsibilities into the provider's written engagement agreement.

Use Quote A, Quote B and Quote C for up to three written quotes. Enter the same scope and comparison period where possible. Leave an unknown amount blank. No provider name, email address or phone number is needed. All monetary inputs are U.S. dollars. The worksheet does not convert currencies or decide which writer to hire.

How the calculations work
The worksheet shows three different amounts: known minimum commitment, estimated total for the entered scope or period, and quoted total due before work. They answer different questions and should not be treated as interchangeable.
For a fixed project, the service fee is the greater of the quoted fixed fee and any stated minimum service fee. For an hourly quote, estimated billable hours are the greater of your entered hours and a confirmed minimum number of hours. For a monthly quote, estimated billable months are the greater of your entered comparison period and a confirmed minimum term. Multiply the applicable quantity by the rate, then apply any stated monetary service-fee floor. Round the resulting service amount to U.S. cents.
The known minimum service commitment for an hourly or monthly quote is the greater of the rate multiplied by the stated minimum quantity and any stated minimum service fee. When the provider confirms there is no quantity minimum, that quantity floor is zero. When there is no monetary floor either, the worksheet says No stated service minimum and leaves a zero minimum total blank unless a separately known mandatory charge establishes a positive commitment. Your actual bill still depends on the work or months purchased.
For the minimum commitment, add confirmed one-time extras and the recurring extra rate multiplied by the confirmed minimum hours or months. For the scope or period estimate, add confirmed one-time extras and the recurring extra rate multiplied by the applicable estimated hours or months. This keeps a three-month minimum distinct from a longer comparison period. Round each extra-charge subtotal to cents. A fixed project adds only its one-time extras. Known amount requires both extra-charge fields to be complete, using an explicit 0 for a confirmed absent component. Confirmed none allows them to remain blank or 0.
The resulting estimate is an estimate for the entered scope or period, not a binding or complete contract price. A credited advance is already part of the service fees and is not added again. The quoted total due before work is copied from your input rather than calculated. Confirm that it includes all applicable upfront charges.
A missing rate, missing required quantity, unconfirmed applicable minimum or unsupported fee basis leaves the affected calculation blank and explains what to confirm. An unconfirmed extra-charge amount leaves the all-in totals blank even when the known service fee can be calculated; the service-fee subtotal is still shown separately. Unknown extras are never silently treated as zero. Changing a deliverable status does not change the fee automatically: revise the quote inputs only when the provider quotes the revised scope.
Use only finite, nonnegative amounts within the worksheet's input limits. Quantity estimates must be greater than zero. Known minimums must be greater than zero. Known amount extras require a positive one-time amount or recurring rate, with an explicit 0 for any confirmed absent component; select Confirmed none when the writer explicitly confirms there are no extra charges. The workbook allows money up to $10,000,000 and quantities up to 100,000 with up to two decimal places. A fixed fee or rate must be greater than zero. These limits keep this particular planning tool usable; they are not market-price recommendations.
Read the scope and the open questions alongside the numbers. A lower total can cover less work, a different period or more responsibility for your organization. The worksheet does not award a score or select a winner. It is a planning template, not a binding quote, contract or professional financial or procurement recommendation.

Questions about using the kit
Can I use the templates before choosing a grant opportunity?
Yes. In the scope worksheet and RFP, describe the funding research you need and the criteria for a useful opportunity shortlist. A research engagement can be scoped and priced separately from writing a particular application.
Do I have to send an RFP or interview writers on a call?
No. Use the parts that fit your organization's process. A written quote request can cover the same scope, evidence and fee questions, and the interview questions can be answered by email. Follow any selection requirements that apply to your organization.
What if a quote is missing hours, a minimum or extra charges?
Keep the missing field unconfirmed and ask the provider. The quote worksheet leaves affected totals blank rather than supplying a guessed zero. You can still record a quoted payment due before work and the known service information while clarifying the missing terms.
Does the lowest calculated total identify the best writer?
No. Compare the actual work, assigned people, relevant experience, availability and responsibilities alongside the fee. Two correctly calculated totals can cover different deliverables or periods. The worksheet does not score providers or choose a winner.
