How much does a grant writer cost?
By GrantWriterMatch Editorial · Sources checked October 2, 2026
Grant-writer costs depend on the work you buy: finding opportunities, writing a proposal, improving a draft or providing continuing support. Compare the fee for the same deliverables, then check minimum hours, contract length and payment due before work. A research price is not the price of a finished application.
The public offers below show why those distinctions matter. Connor publishes research estimates of $500–$2,500. Seliger publishes $6,000–$20,000 for most writing assignments and $300/hour with a 15-hour prepaid minimum for editing: a $4,500 minimum commitment. These are particular providers' offers, not national averages. Connor fee source · Seliger fee source
This is a small public-price sample: 13 numeric offers from two providers, plus four quote-required records from the other providers in our initial comparison. Published prices are not binding quotes, paid invoices or evidence that a writer is available for your deadline.

Published grant-writing fees and scope
The tables separate project fees, hourly work and monthly support. Providers appear alphabetically within each group. Price visibility does not determine editorial order or establish value. “Not confirmed” means the reviewed source does not resolve that condition; it does not mean no minimum or no additional charge.
All amounts are U.S. dollars. A + means the published range can extend above the displayed endpoint. Estimates and “usually” ranges are planning information, not firm lower or upper limits.

Providers requiring a scoped quote
| Provider · direct contact | Service scope | Price and payment basis | Minimum, term or client condition | Source and date checked |
|---|---|---|---|---|
| DH Leonard Consulting | Research, writing/editing and team support. | Quote required; fee and payment basis not confirmed. | Typical support contracts are 12 months, not a verified universal minimum. That is a client-profile condition, not the fee. No numeric consulting fee in the reviewed source; quote scope and term required. | T1 · |
For every offer, confirm the total for your written scope, mandatory additional charges and deadline capacity. The table does not establish an all-in quote. The exports retain longer scope and condition fields.
Read the price with the scope
Research and writing are separate purchases. Paying for a list or assessment of funding opportunities does not establish that proposal drafting, budget preparation or submission is included. Ask what the finished research deliverable contains and what happens after you choose a funder.
A starting price or estimated low endpoint is not a guaranteed quote. If your budget is below a published estimate, ask whether a smaller scope is available. The table does not establish that the provider will accept that budget or reject your project.
An hourly rate needs a quantity and a minimum. Seliger's editing rate produces a $4,500 prepaid minimum because the offer requires 15 hours. That condition belongs to editing/technical assistance. It is not the minimum price of every service the firm sells.
A monthly fee needs a term. At Seliger's published usual $4,000–$6,000 monthly range, its three-month minimum term corresponds to $12,000–$18,000 in base retainers. The actual quoted monthly amount and work beyond the retainer remain to be confirmed. Connor's monthly estimates do not establish a minimum term, so this dataset does not invent a three-month or annual total for them.
An advance payment is part of the bill when it is credited toward the fee. A $12,000 project with a credited $6,000 deposit remains a $12,000 service fee. Payment timing is a separate comparison from total cost. Confirm any noncredited setup charge, taxes, travel or other additional expense.
Choosing the engagement to price
| Your buying task | Ask for a quote that specifies | A misleading comparison to avoid |
|---|---|---|
| You need suitable funding opportunities | The research scope, eligibility screening, opportunity details and handoff; identify whether application writing is a separate purchase. | Comparing a research estimate with a full proposal-writing fee. |
| You have an application to prepare | The exact opportunity, narrative and supporting deliverables, internal deadlines, revision process and submission responsibilities. | Treating every “grant-writing” package as the same complete application. |
| You already have a draft | Whether the work is proofreading, substantive editing, scored review or a rewrite; request estimated hours and any minimum. | Comparing an hourly rate with a small fixed review fee without knowing the work each covers. |
| You want continuing support | The months purchased, minimum term, workload or hours, carryover, cancellation terms and additional charges. | Multiplying a monthly fee by your preferred period when a longer minimum term applies. |
Use the services comparison to identify the work first. For organizational fit, see nonprofit grant writers or SBIR/STTR support. A published fee alone does not establish experience with your particular program.
How we collected this fee dataset
Version: 2026-10-02-v1. Method version: 1.0. Collection and substantive source checks: October 2, 2026.
We started with the six named providers in GrantWriterMatch's initial hiring comparison. We inspected their official fee or service pages and selected usable offers for opportunity research, proposals, letters of inquiry, editing and monthly support. This is a purposeful convenience sample. It does not represent every grant writer, every service those firms offer or prices in every U.S. location.
The dataset contains 17 records covering six providers: 13 distinct numeric service offers from two providers, and four quote-required records from four providers. Multiple services from one provider are multiple offer observations, not additional providers. Seliger's optional $1,000 public-funding search is recorded as an add-on to its foundation/corporate package, rather than counted again as a separate proposal offer. Some other services on the source pages are outside this collection.
For each record, we retain a stable provider ID and offer ID, currency, service and billing unit, price status, numerical amounts where published, minimums, advance-payment conditions, scope notes, material unknowns, source URLs and the date checked. The HTML tables and both downloads describe the same records. The JSON includes the source register and dataset metadata; the CSV has one row per offer or quote-required record.
Unknown numerical values are null in JSON and blank in CSV. They are never zero. A missing maximum for an open-ended starting price is not an unlimited quoted budget. An empty exclusion list means no exclusion was recorded; it does not establish that every task is included.
We calculate a minimum only from an applicable documented minimum and the fee it uses. Seliger's editing calculation is $300 × 15 hours = $4,500. Its retainer calculation uses a stated three-month term and its published usual monthly range; we label that result conditional. Lower endpoints of Connor's estimates and Seliger's usual project ranges are not recast as contractual minimums. The hypothetical example on our methodology page is excluded from provider data, counts and calculations.
We have not purchased these engagements, inspected client invoices, audited provider outcomes or confirmed deadline capacity. Public offers can change, and the eventual quote may cover a different scope. This collection supports a conversation about price and responsibilities; it cannot establish a national average, the cheapest writer, a fair fee for every project or a funding outcome.
We aim to review material fee and scope facts at least quarterly and before using them in a newly published comparison. A page check records what we inspected on that date; it is not a promise that a provider's offer stays unchanged. Report an outdated amount or material omission through Contact, preferably with the offer ID and an official source. Provider updates follow the same research standards as other evidence.

Compare up to three written quotes
Compare Quote A, Quote B and Quote C for the same work and period. You can record each quoted rate, service minimum, additional charge and payment schedule without entering a provider name or your contact details. The tool calculates only what your inputs support; it does not score writers or choose a winner.
Your entries stay in this page's browser memory. GrantWriterMatch does not save or receive them. Use Reset to clear them; reloading starts a fresh tool. Copy and print are actions you choose; they may place the comparison in your clipboard or print destination. See Privacy for our data practices.
To work offline, download the editable quote-comparison workbook. The hiring kit also includes a scope worksheet, RFP and interview questions.
What to confirm before choosing on price
Ask each writer to respond to the same short scope. Your comparison should resolve:
- The work: How many opportunities, letters or proposals are covered? Does the fee include funder research, the narrative, budget and justification, attachments, revisions and submission assistance? Ask separately about reporting or other post-award work.
- Your responsibility: What financial records, program evidence, technical material, signatures, accounts and approvals must your organization supply? Who owns registration and final submission?
- The estimate: What hours or months does the quoted amount assume? What quantity or dollar minimum applies, and what happens if the work exceeds the estimate?
- The additional charges: Which rush, travel, setup, administrative or other charges apply to this scope? Does the quoted total include applicable taxes and expenses?
- The payment schedule: What is due before work? Is the deposit credited, and when is the balance due? What cancellation, carryover or refund terms apply?
- Delivery: Who will do the work, what relevant program experience do they have, how many review rounds are included, and can they actually meet your internal and funder deadlines?
An unanswered item stays an open question. An omitted line item does not establish that the service is included or that a charge is zero. GrantWriterMatch compares paid help and does not promote payment based on a percentage of an award or on whether funding is won.
Quote comparer fields and calculation method
Use Quote A, Quote B and Quote C for up to three written quotes. Enter the same scope and comparison period where possible. Leave an unknown amount blank. No provider name, email address or phone number is needed. All monetary inputs are U.S. dollars. The worksheet does not convert currencies or decide which writer to hire.
Fields to complete for each quote
| Field | What to enter |
|---|---|
| Service and scope | The work covered by this quote, such as opportunity research, one proposal, proposal editing or a monthly engagement. |
| Fee basis | Fixed project, Hourly, Monthly or Other. Other terms require a separate written calculation; the worksheet leaves their totals blank. |
| Fixed fee or rate (USD) | The complete fixed project service fee, hourly rate or monthly rate. Use a specific quoted amount, not a price range, an advertised starting price or a budget you hope the writer will accept. |
| Requested hours or months | Your estimated billable hours for an hourly quote, or the requested comparison period in months for a monthly quote. Use the unit stated in the quote. This field is not used for a fixed project. |
| Minimum quantity status | Choose Confirmed none, Known minimum or Not confirmed. A blank status is also unconfirmed. |
| Minimum hours or months | The minimum billable hours or minimum term, only when the quote states one. A monthly minimum term remains payable even when your requested comparison period is shorter. |
| Minimum service fee status | Choose Confirmed none, Known minimum or Not confirmed. This is a monetary floor on the service fee, separate from an hourly or monthly minimum quantity. |
| Quoted minimum service fee (USD) | The monetary service-fee floor stated in the quote, when there is one. Do not add this floor to the rate calculation: use the greater applicable service amount. |
| Mandatory extra charges status | Choose Confirmed none, Known amount or Not confirmed. Do not select Confirmed none merely because the quote omits a charge. |
| Mandatory one-time extras (USD) | Confirmed noncredited setup fees and other one-time additional charges. Include applicable taxes or expenses quoted separately. Exclude an advance that is credited toward the service fees already entered. Under Known amount, enter 0 when the provider confirms there is no one-time component. |
| Extra charge per billed hour or month (USD) | A confirmed recurring extra charge using the same billing quantity as the hourly or monthly service. Under Known amount, enter 0 when there is no recurring component. A fixed project requires this field to be 0. A different recurring period, tiered charge or extra-charge cap needs a separate calculation; leave the extra charges unconfirmed in this worksheet and explain the terms in notes. |
| Credited advance already included in fees (USD) | A quoted advance or deposit that will be credited against the entered service fees. This field records the payment schedule and is never added again to the total. Leave it blank if its credit treatment has not been confirmed and note the question below. |
| Quoted total due before work (USD) | The provider's stated total payable before work starts, including any applicable upfront extras. This amount is recorded separately; the worksheet does not infer it from the minimum term or add it to the total. Enter 0 only when the provider confirms nothing is due before work. |
| Quantity and period notes | The billing increment, comparison period, scope assumptions and any hourly estimate or term that still needs confirmation. |
| Extra-charge and payment notes | Which extras are covered, which remain unknown, deposit credit treatment, payment timing and any inconsistency requiring clarification. |
| Deliverable status | For research, proposal writing, editing or review, budget support, submission and post-award work, choose Included, Excluded or Not confirmed. A blank means Not confirmed, never Excluded. |
| Scope and terms notes | Record the deliverables, revision limit, materials you must supply, assigned people, deadline availability, acceptance criteria and other material differences. |
How the calculations work
The worksheet shows three different amounts: known minimum commitment, estimated total for the entered scope or period, and quoted total due before work. They answer different questions and should not be treated as interchangeable.
For a fixed project, the service fee is the greater of the quoted fixed fee and any stated minimum service fee. For an hourly quote, estimated billable hours are the greater of your entered hours and a confirmed minimum number of hours. For a monthly quote, estimated billable months are the greater of your entered comparison period and a confirmed minimum term. Multiply the applicable quantity by the rate, then apply any stated monetary service-fee floor. Round the resulting service amount to U.S. cents.
The known minimum service commitment for an hourly or monthly quote is the greater of the rate multiplied by the stated minimum quantity and any stated minimum service fee. When the provider confirms there is no quantity minimum, that quantity floor is zero. When there is no monetary floor either, the worksheet says No stated service minimum and leaves a zero minimum total blank unless a separately known mandatory charge establishes a positive commitment. Your actual bill still depends on the work or months purchased.
For the minimum commitment, add confirmed one-time extras and the recurring extra rate multiplied by the confirmed minimum hours or months. For the scope or period estimate, add confirmed one-time extras and the recurring extra rate multiplied by the applicable estimated hours or months. This keeps a three-month minimum distinct from a longer comparison period. Round each extra-charge subtotal to cents. A fixed project adds only its one-time extras. Known amount requires both extra-charge fields to be complete, using an explicit 0 for a confirmed absent component. Confirmed none allows them to remain blank or 0.
The resulting estimate is an estimate for the entered scope or period, not a binding or complete contract price. A credited advance is already part of the service fees and is not added again. The quoted total due before work is copied from your input rather than calculated. Confirm that it includes all applicable upfront charges.
A missing rate, missing required quantity, unconfirmed applicable minimum or unsupported fee basis leaves the affected calculation blank and explains what to confirm. An unconfirmed extra-charge amount leaves the all-in totals blank even when the known service fee can be calculated; the service-fee subtotal is still shown separately. Unknown extras are never silently treated as zero. Changing a deliverable status does not change the fee automatically: revise the quote inputs only when the provider quotes the revised scope.
Use only finite, nonnegative amounts within the worksheet's input limits. Quantity estimates must be greater than zero. Known minimums must be greater than zero. Known amount extras require a positive one-time amount or recurring rate, with an explicit 0 for any confirmed absent component; select Confirmed none when the writer explicitly confirms there are no extra charges. The workbook allows money up to $10,000,000 and quantities up to 100,000 with up to two decimal places. A fixed fee or rate must be greater than zero. These limits keep this particular planning tool usable; they are not market-price recommendations.
Read the scope and the open questions alongside the numbers. A lower total can cover less work, a different period or more responsibility for your organization. The worksheet does not award a score or select a winner. It is a planning template, not a binding quote, contract or professional financial or procurement recommendation.
